
On June 2, 2021,ÌýÐÇ¿ÕÌåÓýappÏÂÔØ inactivatedÌýbroker business entity licenses in error. ÌýUpon discovery of the error, staff workedÌýto resolve the issueÌýandÌýall licenses were restored byÌýFriday, June 4, 2021. ÌýFor purposes of full disclosure, we wanted our license holders to know the details of what occurred and what we are doing to avoid any similar incident in the future.Ìý
How did this happen?Ìý
Every month, ÐÇ¿ÕÌåÓýappÏÂÔØ runs aÌýprocess toÌýupdate system records andÌýinactivateÌýanyÌýbusinessÌýentityÌýlicensesÌýwhereÌýtheÌýlicense of theÌýdesignatedÌýbroker/officerÌýhas expired. ÌýWhen running this processÌýin June, rather thanÌýselectingÌýthoseÌýdesignated broker/officerÌýwhose license had expired, allÌýdesignated broker/officerÌýlicenses wereÌýinadvertentlyÌýselected.ÌýThisÌýresultedÌýinÌýall business entityÌýlicensesÌýbeing inactivated. ÌýThis was a human error with significant consequences for our license holders.ÌýÌý
How did it get fixed?Ìý
Ultimately, the vendor that manages our licensing database created a process that “unwoundâ€� the mistake.Ìý This took about a day to write andÌýtest beforeÌýwe were able to run the process to correct the mistake.Ìý Prior to running it, our licensing staff dedicated their time to manually correct errorsÌýone by one.Ìý Some worked long into the night to correct as many licenses as possible, as fast as possible.ÌýÌýÌý
The website also wasn’t working that day.Ìý What happened?Ìý
Due to this error, the traffic on our website increased to ten times what it normally handles.Ìý This caused much of our website to fail.Ìý All is working normally again now.Ìý
How can we be sure it doesn’t happen again?Ìý
Our licensing database is nearing the end of life and many of the processes are manual.Ìý Ultimately, ÐÇ¿ÕÌåÓýappÏÂÔØ is working towards building a new licensing database that will provide workflow processes thatÌýminimize the need for manual processesÌýto alleviate human errors.Ìý In addition, this database willÌýprovide moreÌýself-service options on our website and greater autonomy for our license holders.Ìý This new database should be complete by the end of 2023.Ìý In the meantime, ÐÇ¿ÕÌåÓýappÏÂÔØ has established manual safeguards to ensure against single points of failure, such as the one that recently occurred.ÌýWe do expect, however, further challenges with the older system. The agency staff is prepared to address them as they may arise.ÌýÌý
